1. Online Reservation Process
- Check Availability: Consult the digital calendar to ensure a vehicle of the required capacity is available for your designated dates and times.
- Booking Entry: Complete all required fields.
2. Compliance and Agreements
- Terms and Conditions: You must read the Terms and Conditions in full before proceeding. These outline driver responsibilities, cleaning expectations, and incident reporting.
- Binding Agreement: By clicking the “I Agree” checkbox, you are entering into a binding agreement with the College regarding the use and care of the vehicle.
3. Approval Workflow
- Submission: Once submitted, your request will be sent to the relevant Administrator for review.
- Confirmation: You will receive an automated email notification once your booking is confirmed and approved.
4. Key Collection and Departure
- Reception Check-in: On the day of your booking, proceed to the Campus Main Reception to collect the vehicle keys and the Log Book folder.
- Pre-Trip Inspection: Before departing, conduct a visual inspection of the bus and note any pre-existing damage or cleanliness issues in the Log Book.
5. Return and Post-Trip Requirements
- Refuelling & Cleaning: Ensure the bus is returned with at least a half-full tank of fuel and that all interior rubbish is removed.
- Key Return: Return the keys and the completed Log Book to the Campus Main Reception immediately upon your return. If returning after hours, please follow the designated secure key-drop procedure.
Note: Failure to adhere to these procedures or the Terms and Conditions may result in the suspension of driving privileges for College vehicles.
